Procedures for Student Organizations
GR
Campus
1. E-mail Policy:
Mass e-mails sent to the student list, faculty list, or administration list
through GroupWise accounts are not permitted. Organizations may send e-mails to their members, individual
students, faculty, or administrators if need be. Organizations may advertise
programs, events, or meetings via the TWEN page, student portal, GR newsletter,
the Pillar, or flyers.
2. GR Newsletter: Every
Friday, the GR campus prepares an e-newsletter that is posted to the Cooley
Portal. Student organizations should submit their events to CJ Kruska to
include in the e-newsletter. The
information should have the following listed:
- Date and time (include
length of the event)
- Location of the event
- A description of the event
- Who is invited/who is
targeted
- Cost, if any
- Food, if any
Submissions
for the e-newsletter must be made by Wednesday at 5:00 pm. for that week’s
newsletter. Please make the submissions
to the following people:
- CJ Kruska, GR Campus
Director
- Copy your organization’s
president or PR person if applicable
3. Flyers: Any student
organization posting must be submitted to Julie
Renbarger in the Student Services office on the 2nd floor of the GR
Law Center for approval. Those approved will be posted by Tracie Simons,
Student Services Administrative Assistant.
- All postings or flyers may
be posted up to three weeks (21 days), but not later than the day after a
special event.
- Students and student
organizations are responsible for removing their own postings and flyers.
- No student or organization
may cover up, remove, tear, burn, or commit any other act of vandalism on
or to the posting or flyer. If any
student or organization commits one of these acts, it will be turned over
the Assistant Dean for a possible Honor Code violation.
- Postings or flyers may only be posted by Tracie Simons
on the following bulletin boards: 1) second floor hallway and 2) student
lounge.
- The bulletin boards outside
the SBA offices are for the exclusive use of the SBA, and the bulletin
boards in the back (west) hallway of the second floor are for the
exclusive use of student organizations.
The SBA and student organization officers and members may post
flyers on these boards without prior approval of the administration. However, the administration reserves the
right to remove any posting that is deemed inappropriate.
- The bulletin boards may only
be used to post items of interest to Cooley students.
4. PowerPoint Slides: Student organizations may design PowerPoint
slides to advertise student events.
Slides will be added to a weekly marquee of slides that are shown by
professors before class and during class breaks, as well as displayed on the
student computer in the student services office. Finished slides should be submitted to Tracie
Simons for addition to the marquee.
The
following form outlines procedures and policies for table-ing in the
lobby of the Grand Rapids Campus. It is available in word format here.
Procedure for Tables in Lobby or Student
Lounge
Student organizations or other groups that wish to have a
table in the lobby of the Law Center
to promote an event or service must make a request to CJ Kruska at kruskac@cooley.edu.
No more than two organizations may have tables in the lobby
at a time. Reservations are taken on a
first-come, first-served basis. However, due to the limited number of tables
available, organizations that request a table for an extended period of time
may be asked to release a table so that another organization has a chance to
reserve a table.
The weekly table schedule is displayed on each table in the
lobby. Please do not remove the display
schedules from the lobby.
The school is not responsible for materials that are
displayed on the tables. Materials left on display tables after the reservation
dates will be disposed of by the school.
Student organizations or other groups may also request to
have a table in the student lounge by
contacting CJ Kruska at kruskac@cooley.edu. No more than two organizations may have
tables in the student lounge at the same time.
Reservations are taken on a first-come, first-served basis. If your organization has a table in the
lounge, please be considerate of other students who may be using the lounge.
